To allow users (“you” or “your”) of the MGallery MICE service (“Service”) accessible at mgallerymice.accor.com to benefit from the features and numerous advantages of the Service, such as creating an MGallery MICE account allowing the issuance, tracking of quote requests, and interactions with hotels to which you send a request for event organization, ACCOR LUXURY & LIFESTYLE SAS, headquartered at 82, rue Henri Farman, CS 20077, 92445 ISSY-LES-MOULINEAUX, processes some of your personal data as the data controller.
To provide you with transparent information about this processing as well as your related rights, ACCOR LUXURY & LIFESTYLE SAS has drafted this Charter.
- WHAT PERSONAL DATA IS COLLECTED?
When you use the Service and wish to make a quote request to one or more hotels for event organization, we collect the following personal data about you:
- Mandatory information when creating your MGallery MICE account and issuing your quote request: title, name, first name, email, phone, language, password.
- Optional information within your MGallery MICE account: secondary phone, postal address, billing details.
- Information related to your quote request: location, event date, number of guests.
- Your preferences or special requests that you may make when issuing your quote request.
To satisfy your requests or provide you with the appropriate service, we provide you with a free comments section. This allows you to express your preferences or any other information you deem useful in connection with your request. In this regard, we invite you not to write inappropriate, excessive, and insulting comments and not to provide any information that may contain sensitive data as defined in Article 10 of the GDPR. This sensitive data includes:
- Revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership.
- Concerning the health, life, or sexual orientation of a natural person.
- FOR WHAT PURPOSES ARE YOUR DATA COLLECTED AND FOR HOW LONG ARE THEY RETAINED?
We collect and process your data to allow you to create an MGallery MICE account, manage the transmission of your quote requests, and interact with the selected hotel(s).
This processing is necessary for the execution of the service contract (general terms of use) to which you are a party regarding the use of your MGallery MICE account, the issuance, and management of quote requests sent to the selected hotel.
Unless otherwise provided by law or regulation, your data is retained for 3 years from your last activity.
- CONDITIONS FOR ACCESS BY THIRD PARTIES TO YOUR PERSONAL DATA
Your personal data is intended for authorized personnel of SO LUXURY HMC in charge of the site sofitelmice.accor.com as well as the external provider in charge of managing the Service.
Your personal data is also transmitted to the hotels to which you have sent a quote request, as a separate data controller.
We may also be required, under a legal obligation, to transmit your personal data to an administrative authority or authorized public body.
- TRANSFER OF DATA OUTSIDE THE EEA
Your data may be transferred outside the European Economic Area (EEA) when necessary for the execution of your quote request or when appropriate and suitable safeguards have been provided.
- DATA SECURITY
ACCOR LUXURY & LIFESTYLE SAS takes appropriate technical and organizational measures, in accordance with applicable legal provisions, to protect your personal data against destruction, loss, or alteration, misuse, and unauthorized access, modification, or disclosure, whether these actions are unlawful or accidental. To this end, we have implemented technical measures (such as firewalls), organizational measures (such as an identifier/password system and physical protection means for infrastructure access) to ensure the constant confidentiality, integrity, availability, and resilience of processing systems and services, as well as organizational measures to ensure the security of processing.
- YOUR RIGHTS
You have the right to obtain information and access your personal data collected by ACCOR LUXURY & LIFESTYLE SAS, subject to applicable legal provisions. You also have the right to rectify your data, have it erased, or limit its processing. Additionally, you have the right to the portability of your data and the right to define instructions for the processing of your data after your death (post-mortem right). You can also object to the processing of your data.

For reasons of confidentiality and protection of your personal data, we will need to identify you to respond to your request. For this purpose, in case of reasonable doubts about your identity, you may be asked to attach to your request a copy of an official identification document, such as an identity card or passport. In this case, a black and white copy of the front of one of these documents is sufficient.
All requests will be processed as soon as possible and in compliance with applicable law.
You can also exercise your rights regarding your personal data retained and processed by a hotel as a data controller. To do this, you must contact this hotel directly. You will find all the necessary information to contact a hotel on the site sofitelmice.accor.com.
Finally, you can lodge a complaint with a supervisory authority, and you can contact the Accor Group’s Data Protection Officer by writing to accorhotels.dpo@accor.com.
